Moving In

Once you have signed and submitted your license agreement, you will receive an auto-response email with the building and monthly rent. You will receive a follow-up email within 5-7 business days containing your building, apartment number, move-in date, and roommate information (if applicable). To prepare for your arrival, your apartment will be cleaned before your move-in date. If you are moving into a shared two-, three-, or four-bedroom apartment, your bedroom will be cleaned before your move-in date. Common area cleaning is the responsibility of current residents.

Arrival and Check-in

Residents may check-in and receive their key(s) at the front desk of their building on their scheduled move-in date, regardless of whether it’s a weekday, weekend, or overnight. Rent responsibility will begin at the time of check-in. Residents should not arrive earlier than their scheduled move-in date, as the room will not be ready.

Have your MIT ID ready

In order to access on-campus housing, all students will need an MIT ID. Physical cards can also be obtained at kiosks located on campus or Card Services located in the Atlas Service Center (E17, 1st floor).

After-hours Check In

If the front desk is closed (generally from 12:00 am to 8:00 am ET) or unattended when you arrive:

  • Please call Evening Operations and ask for “Unit-12” by dialing (617) 253-1500 from a non-MIT phone or extension 3-1500 if dialing from a campus phone.
  • Explain that you are moving into your housing assignment and provide your building and room information.
    • Responding staff will assist you with accessing the building and provide provisional access to your housing assignment.
  • Please have an ID (MIT ID preferred) available and your confirmation notice available (either printed or on your mobile device).
  • Please visit the front desk of your residence during regular hours following your arrival to complete any remaining check-in processes (if applicable).

Communications

Please note that all housing-related communications are sent to your @MIT.EDU email address and may be in your Housing Portal messages. Please monitor these accounts for important housing notifications, or be sure to forward all emails from your MIT email to your preferred email account.

When corresponding with our office, we ask that you please use your MIT email. If applicable, please ensure that this guidance is shared with other occupants, such as a spouse/partner/dependent, who is authorized to live in MIT housing.

The street address for each residence is located in the footer of its information page on this website. Your room number is located in your confirmation email.

​Do not address mail or send packages to your new assignment ahead of your move-in date. There is NO storage available, and the mailroom cannot take responsibility for any mail or packages that arrive before you do. Any mail or packages that arrive before you check in will be returned to the sender.

Changing your Move-in Date

Your move-in date, confirmed by HRS staff, is contained in your confirmation email. If you must arrive on a different date (earlier or later) other than the date assigned, reply to your confirmation email within two weeks of receipt to submit the request and await confirmation of a new move-in date. Requests to change dates with less than two weeks notice from the confirmed date may not be accommodated. Please wait for a confirmation reply before making travel arrangements.

  • Please do NOT contact the current resident of your room to ask when they are moving out. All questions about occupancy should be directed to graduatehousing@mit.edu.
  • PLEASE DO NOT ARRIVE EARLIER than your scheduled move-in date because your room will not be ready.
  • If you arrive after your scheduled arrival date, no additional coordination is required but rent responsibility will still begin on your scheduled date of occupancy provided in your confirmation letter.

Parking

If you plan to bring a car with you to campus, you can register for on-campus parking through MIT Parking and pay a monthly fee. Your parking account is not tied to your housing contract. If you need to cancel your campus resident parking permit, please contact mitparking@mit.edu.

Proof of Residency

If you require a proof of residence confirmation letter, please log into your Housing Portal:

  • Click on “Forms”
  • Scroll down to “General Forms”
  • Select “Proof of Residency
  • Follow the prompts to choose the type of form you need from the options for proof-of-address documentation, including letters for the Registry of Motor Vehicles (RMV) to obtain a driver’s license or state ID.

You will be able to print your form letter upon completion. When printing or exporting your document:

  • Select “Print using the system dialogue” to clear the headers and footers that automatically populate.
    • You will need to ensure that all headers and footers are listed as “blank” in the print dialogue box.
    • You may also choose to decrease the scale of your document to fit it on one page if you wish prior to printing or exporting as a PDF.

All additional occupants will need to obtain proof of residence via the primary resident’s portal. For these requests:

  • Look for the options that say “with Additional Occupants” on them.
    • They will appear on the letter with their dates of occupancy.

Canceling your assignment before move-in

You will be charged a $250.00 cancellation fee if:

  1. You are canceling your graduate housing assignment after making a selection;
  2. Or you have failed to sign the license agreement by the deadline after making a selection;
  3. Or after having signed the license agreement.
  4. If you cancel with less than 30 days notice prior to your scheduled occupancy “move-in” date, you will be assessed a $250.00 cancellation fee AND will be held rent-responsible until the housing unit you contracted to occupy has been reassigned to another resident.

All cancellation fees will be charged to your MITPay account unless you have withdrawn from the Institute.

How to Cancel Your Graduate Housing Assignment:

To cancel your housing assignment, please visit the Housing Portal to submit a Graduate Housing Cancellation Request Form at least 30 days before to your scheduled occupancy “move-in” date. As a reminder, the graduate housing Early Termination Policy will apply to any cancellations submitted after your scheduled occupancy date.

If You Decide Not to Attend MIT:

You must notify the Housing & Residential Services by filling out a Cancellation Request Form in your Housing Portal prior to your occupancy “move-in” date if you selected a unit. Please note that individual academic departments will not do this for you.

Building Access for Partners and Children

MIT Housing & Residential Services (HRS) maintains building security by requiring residents to use their active MIT ID to open exterior doors of MIT residences. All residents five years of age and older need to maintain an MIT ID for building access.

  • Once you have submitted your Proof of Family documentation, MIT Housing & Residential Services (HRS) will review and approve. Once additional occupant(s) have been approved, an MIT ID number will be automatically generated for them.
  • After your additional occupant(s) have been approved by HRS, you will receive an automated email from accounts@mit.edu with instructions on how to set up their Kerberos ID. All residents over the age of five must create a Kerberos ID.
  • Please visit the MIT ID website and follow the instructions only after the Kerberos ID has been created.  It may take about one business day for MIT’s systems to populate a newly-created Kerberos account.
